
These terms are standard and similar for the fitness and rehabilitation industry.
Read this page before participating in any fitness program/product. If any point below needs an exception, talk to the company prior to agreeing to see what can be done.

- Open door slowly: When entering, open the door slowly.
- Back to normal & lock up: When entering, notice where everything is. Leave it in that same condition when finished. Put things back, turn everything off, and lock the doors.
- Using equipment: Use equipment with care. Lift and put equipment down gently. Do not drop weights.
- Special equipment: Do not use special equipment such as the cardio machines, fitness racks, or the hyper pro until the trainer has shown you how first. This will ensure safety and so it does not break it.
- Common sense: Look around. Read things. Conduct with care.
- Hygiene: Some clients have requested this reminder: wear deodorant before entering any gym or healthcare facility. Have clean hygiene and clothes.
- Ventilation: If needed, open the front electric door a little. Close it when finished. Keep the side door closed. Turn on the fan on if needed and off when finished.
- Food & drinks: No food allowed. Drinks are ok.
- Phone: Focus on your session. Attend to your phone before or after your workout, unless it’s for music or there’s an emergency.
- TV volume: Maximum 16. If you want louder music, bring your own headphones and play music through your phone.
- Respect: Keep things respectful.
- Violence: Avoid.
- Facility permission use: You must be given permission first to use the facility. Anyone that has not been given permission is not allowed for safety and liability reasons.
- Lack of adherence: Every gym has similar rules. Reminders will be given if necessary. Any ongoing lack of adherence to the rules is not accepted.
GENERAL
- Payment: Required before or on the day any program/session starts.
- Monthly gym membership unlimited: Understand this policy. The monthly gym membership is the same as most gyms. It is the clients’ responsiblity to plan and use the monthly gym membership unlimited how they like within their time frame. It’s how a Netflix subscription works. Watch 1 or 100 movies a month. The use is up to the client but the price remains the same. If you miss attending the gym for awhile, that is your responsibility. There is 1 exception: the only time a refund for a gym membership will be given is when there’s a medical situation or injury with a doctor’s note of proof and the refund can only be given from the day the note is given and moving forward.
- 1 month 4 drop in maximum: Clients can use the gym up to 4 times within the 1 month time period. It is your responsibility to use all 4 drop ins, and if you do not within that time period, it expires.
- Replacement: 1 free. A replacement is $10. Once done, return the original.
- Stop exercise: Clients may stop exercise for any health reason. Clients must communicate this to see what accommodations can be done.
- Cancellation and refund of programs/sessions: Clients may cancel the contract within 1 week (7 days) of their purchase date to receive a remaining/prorated refund. Clients must notify within the first week (7 days) of the purchase date. After this date, client must complete all their purchased programs/sessions, or forfeit it to the company, or it will expire within 3 months of the purchase date. Results come from commitment. There are no refunds for completed sessions with the trainer or completed time the trainer has already spent on customized work for the client.
- Purchase expiry: Like other gyms, all purchases must be used within 3 months of the purchase date unless the programs specifically says differently; otherwise, they expire. 3 months is a reasonable time to use a purchase for anyone who intends to use them right away.
- Adjustment/freeze/pause monthly membership: At most gyms and here, we can adjust/freeze/pause your gym membership for 2 valid reasons (MEDICAL ILLNESS OR INJURY) with a DOCTOR’S NOTE as proof. The client must let us know the day this happens, so we can adjust/freeze/pause the membership from that date moving forward and it will resume once you return. Everyone has a responsiblity to plan their schedule. If you cannot attend and let us know a week after, we cannot adjust for the time that has passed. Client’s have a responsibility to udpate us right away because they know their schedule. Most gyms and us will NOT adjust, freeze, or pause a gym membership for other reasons related to work, legal, travel, vacation, family responsibilty, weather, etc. Once a plan is purchased, these terms are sent to the client so this is clear. Agreements remain once set.
SESSIONS WITH THE TRAINER
- Late cancellation/reschedule (for active clients/clients who have already paid): This policy is standard in the fitness industry. Typically it’s a 24 hour policy; however, our policy gives you until 9pm the day before. When the client gives notice before 9pm the day before a session to cancel/reschedule a session, there is NO penalty. This gives companies time to rearrange their schedule. Remember this and you’ll be fine. However, there is A penalty if a client does not give notice of a cancellation/reschedule BEFORE 9pm the day before the session, then it’s a late cancellation/reschedule and the cost of that session will be charged. To be fair, if the trainer late cancels/reschedules, the client will get 1 additional session free. Both the client and trainer get 2 exemptions a calendar year within January 1 – December 31 for any late cancellation/reschedule for anything unexpected. This policy also applies to ICBC Active Rehab patients. ICBC does not pay for a patient’s late cancellations/reschedules as that is the patient’s responsibility.
- Late cancellation/reschedule (new clients who have not yet paid): The first late cancellation/reschedule is waived, so there is no penalty. For the second late cancellation/reschedule after 9pm the day prior to the scheduled session, there is a late cancellation/reschedule fee of $50.
- Habit of cancelling/rescheduling: If a client cancels/reschedules often, the trainer will let the client know. Otherwise, the habit of cancelling/rescheduling is not useful for anyone’s time and that working relationship will end that calendar year. It may start up again the next calendar year if this bad habit is corrected.
- Late: Up to 5 min late is understandable. If a client is late, that session may be extended 5 min. If the client is excessively late without notice, by half the session length or more, that is too late, and will result in a forfeiture of a session meaning that session is charged. If the client anticipates running very late, notify the trainer before the session. If the trainer is late, that session or another session will be extended because the trainer is responsible for his/her lateness.
I the client, give my consent to participate in the physical fitness assessment/program/product developed by Tee Live Fitness And Kinesiology (TLFAK). This will help determine and improve my physical fitness and program. Any health and fitness program has some health risks. TLFAK performs safe practices to minimize risks and that’s why for 15 years, nobody has even been moderately injured. I the client will do safe practices too. If anything feels unsafe, I will cease participation. I do not have medical problems other than those mentioned in the PARQ that would present any undue health risks.
I assume all risks during my tenure at TLFAK or with any of their products, and hereby release and hold harmless TLFAK from any and all health claims, suits, losses, or causes of action for damages, for injury/ death, including negligence, arising out of or related to my participation in any program/product offered by TLFAK.
I the client, understand that information collected by TLFAK will be used for health and fitness purposes. The information is confidential and will not be shared with anyone without my verbal or written consent, or in a medical emergency or if necessary, to achieve a safe and effective fitness program.
With your verbal or written consent, your photos and videos related to TLFAK, ONLY IF any are taken will be posted but not limited to our media platforms (website and social media, etc.) for promotional/educational purposes. If you are not comfortable with photos and videos, nothing will be taken. I the client, understand this.
