- Back to normal: When clients enter the gym, notice where everything is and how it is. Leave it in that same condition when finished. Put things back, turn everything off, and lock the doors.
- Special equipment: Do not use special equipment such as the cardio machines and power racks until the trainer has shown you how first. This will ensure safety and so it does not break it. If a client uses these special equipment without permission and breaks something, they will be responsible for it.
- Common sense: Look around. Read things. Think how a decent gym person in any gym would use it and conduct themselves.
- Hygiene: Have clean hygiene. Wear clean clothes. Wear deodorant. This is standard in any public space.
- Gym ventilation: If needed, open the side door or front electric door 1-2 feet. Close it when finished.
- Food & drinks: No food allowed. Drinks are ok.
- Phone: Attend to your phone before or after your workout. Focus on your workout.
- TV volume: Maximum 15. If you want louder music, you have the option to bring your own headphones and play music through your phone.
- Violence: Not allowed.
- Permission: The trainer must give permission to each person to use the gym before using it.
- Lack of adherence: Every gym has rules. Reminders will be given when necessary. However, in any gym, any ongoing lack of adherence to the rules and common sense, that person may be asked to leave.
GENERAL
- Payment: Required before or on the day any program/session starts.
- Monthly gym membership unlimited: The monthly gym membership is the same as most gyms. It is the clients’ responsiblity to use the monthly gym membership unlimited how they like. It’s how a Netflix subscription works. Watch 1 or 100 movies a month. The use is up to the client but the price remains the same. On average, clients use the gym 2-4 times a week.
- Month gym membership light: The above policy also applies to the monthly gym membership light. Also, this is a lower cost monthly gym membership where clients use the gym on 1 pre-scheduled day of the week. If you miss that day in the week, it cannot be replaced later. A miss is a miss.
- Replacement: 1 free. A replacement is $5.
- Stop exercise: Clients may stop exercise for any health reason. Clients must communicate this so the the trainer knows and to see what accommodations can be done.
- Cancellation and refund of programs/sessions: Clients may cancel the contract within 1 week (7 days) of their purchase date to receive a remaining/prorated refund. Clients must notify within the first week (7 days) of the purchase date. After this date, client must complete all their purchased programs/sessions, or forfeit it to the company, or it will expire within 3 months of the purchase date. Results come from commitment and overcoming challenges. There are no refunds for completed sessions with the trainer or completed time the trainer has already spent on customized work for the client.
- Purchase expiry: Like other gyms, all purchases must be used within 3 months of the purchase date; otherwise, they expire. 3 months is a reasonable time to use a purchase. There are no issues with anyone who purchases sessions with an intent to use them right away to see progress right away.
- One health exception: When there is a serious health situation and the client can no longer participate, we need proof with a doctor’s note. The client needs to let us know when this happens, so we can adjust from that date and onward with the with a doctor’s note. We cannot adjust for the time that has passed.
SESSIONS WITH THE TRAINER
- Late cancellation/reschedule/no show: This policy is common in the fitness industry. When the client is courteous enough to give notice before 9pm the day before a session to cancel/reschedule a session, there is no penalty. This gives companies reasonable time to rearrange their day. However, if a client does not give notice of a cancellation/reschedule before 9pm the day before the session, it’s considered a late cancellation/reschedule and the cost of that session will be charged. No shows are also charged. To be fair, if the trainer late cancels/reschedules or no shows, the client will get 1 additional session free. Both the client and trainer get 1 exemption a year for any late cancellation/reschedule to account for anything unexpected. In special cases with client’s with certain health/medical reasons, the trainer will talk to the client to work out something reasonably accomodating.
- Habit of cancelling/rescheduling: If a client cancels/reschedules often, the client is wasting their time and others’ time. Reliable trainers work with reliable clients. Reliable clients work with reliable trainers. Clients who are serious about their fitness are reliable with their scheduling.
- ICBC patients late cancellations/reschedules no-shows: This policy relates specifically to ICBC Active Rehab patients. ICBC does no pay for a patient’s late cancellations/reschedules or no-shows. ICBC should not have to pay for a patient’s responsibility; therefore, Policy 1 just above, applies to ICBC patient’s just like it does to the general public.
- Punctuality: 5 min late is acceptable. It is a basic responsibility to be on time. If a client is late, that session will not be extended and end at the original time. The trainer has other work to do. If the client is excessively late without notice, by half the session length or more, that is too late, and this will result in a forfeiture of a session meaning that session is charged. If the client anticipates running significantly late, be courteous and notify the trainer before the session starts. If the trainer is 5 min late, that session or another session will be extended 5 min.
